Bulk Activity
What it does
Use Bulk Activity to check how an import, an export or a change to many records went, record by record.
Each one is a job, listed newest first. A job you start shows in the list as soon as it starts, including one you start in another tab or through Hermes.
| Column | What it shows |
|---|---|
| What | The action and how many records it covers, or an import and its file |
| Result | How many records changed, were skipped or failed |
| Status | Done, Running, Waiting for You, Waiting for Confirmation, Failed or Cancelled, with an icon and a colour |
| Started By | Who started the job, with via Hermes or via MCP where it came from there |
| Started | When it started |
- A running job shows a bar in Result. Once an export finishes, Result offers Download CSV.
- An import’s Result gives the rows it created, updated and skipped, and the rows with errors.
- A failed job’s Result says why it stopped.
The search box finds a job by the name or email of the person who started it, or by an import’s file name. It also finds a change by a record it included, such as #SO1008 or 1008.
- Filter by Kind, Status, Area, Started By and Started. Kind is Import, Export or Bulk Change.
- The built-in views are All, Running, Waiting for Confirmation and Failed.
- On this list, a saved view keeps the filters, search and columns it was saved with. Work boards and tasks covers the search box and saved views.
- On a record’s page, More Actions > View Bulk Activity lists the changes that included that record. Show All Jobs returns to every job.
Select a job to open its page. The page shows the job’s status, who started it, through what and when, and how long it took.
- The result comes first, in the words the finish message uses, such as 10 sales orders paid in full, 2 skipped.
- A bar below it splits the records by outcome. A change’s bar has Changed, Skipped and Failed, and an import’s has Created, Updated, Skipped and Errors. A change waiting for confirmation has Ready and Skipped.
- While a change runs, Waiting counts the records it has still to reach. Once a job has ended with records left, Not Reached counts those it never got to.
- Below the result are the settings the job ran with, the totals its check found and which records it covered. When a filter chose the job’s records, the page shows those filters.
- A job that failed, or that Lucrii cancelled because nobody confirmed it, says why under its result.
- A button in the page header opens the list the records belong to, such as Open in Sales Orders.
- A record’s history shows Changed by a job beside each change a job made. Select it to open that job.
A change’s page lists its records under All, Changed, Skipped and Failed, each with its count. Not Reached lists the records a job that has ended never got to.
- Each record shows its outcome and, under Details, the reason Lucrii gave. Select a record to open it.
- Search finds a record by its name, such as an order number, or by the column beside it, such as a customer’s name.
- Once the job has ended, the button beside the tabs ticks the tab’s records on their list, as Select 2 Skipped Sales Orders does.
- A job that failed or was cancelled part way has a second button under its result. It ticks the records the job never got to, as Select 220 Contacts Not Reached does.
An import’s page has a What Changed table with Created, Updated, Skipped, Cleared and Errors, then Rows in File. Download Errors gets the rows with errors and why each one failed. An export’s page shows its file with its number of rows and the day Lucrii deletes it. Download CSV gets the file.
A change you checked and have not confirmed reads Waiting for You. Someone else’s job reads Waiting for Confirmation.
- Review and Confirm opens the action again on its list, or an import on its import page. Only the person who started the job sees that button.
- Cancel Job stops the job before anything changes, and an administrator or owner sees it too.
A running job keeps going if you leave the page. Cancel Job in the page header asks first. A cancelled job stops at its next record, and anything the job has already changed stays changed.
Before you start
- Everyone sees the jobs they started.
- A team leader also sees every job on orders, contacts, inventory, tasks and boards, imports and exports of them included.
- Administrators and owners see every job in the organisation.
- Only the person who started a job, or an administrator or owner, can cancel it. Cancelling an import needs an administrator or owner.
- Lucrii deletes a finished job, its records and its file 30 days after it finishes.
How to use it
- Open Settings, then Bulk Activity under Organisation.
- Search, or add a filter, to find a job.
- Select a job to open it.
- Choose a tab, such as All, Ready, Changed, Skipped, Failed or Not Reached, to show its records.
- Choose the button beside the tabs, such as Select 2 Skipped Sales Orders, to tick those records on their list.
- Select Download CSV or Download Errors for the job’s file.
- Select Cancel Job to stop a job that has not finished. While the job runs, select Cancel Job again to confirm, or Keep Running to leave it.
Troubleshooting
A job reads Waiting for You. It checked its records and needs you to confirm it. Select it to open its action again on its list. Lucrii cancels it if nobody confirms it within 24 hours. Confirm a job Hermes or an MCP client started in that chat. Lucrii cancels it if nobody confirms it within one hour. Its page then says why it was cancelled.
A failed job says “The job stopped.” Lucrii starts a stopped export or bulk action again by itself, up to twice, before it fails it. The rest of the message says what to do.
A record you expected is not under Changed. Look under Skipped or Failed. The reason under Details is the one the record’s own page would give.
A record or a person shows struck through. The record was deleted since the job ran, so it does not open. A person struck through has left the organisation, as Members and invitations describes.
A job you cancelled is not in the list. The list leaves out a job cancelled before it ran, such as a change nobody confirmed.
