Xero

Last updated: October 24, 2026

Who can do this: administrators and owners.

What it does

Connect Xero so your documents and payments match in both places without typing them in twice. Xero is a first-party connector published by Lucrii, free to install. It binds one Xero organisation to your Lucrii organisation and keeps both copies of a document matching.

LucriiBecomes in Xero
A sales orderA Xero invoice
A purchase orderA Xero purchase order against the vendor
A quoteA Xero quote
A payment you record in LucriiA payment against the matching Xero document
A refundA credit note with its allocation
  • Each Xero line has the same amount and tax as the Lucrii line. The Xero total matches the Lucrii total.
  • The connector pushes a document when Lucrii creates it, measured against what it last sent. It leaves an unchanged order alone.
  • Lines added to a sales order already paid in Xero go to Xero as a separate invoice. The paid invoice stays as it is.
  • A payment entered in Xero is recorded on the Lucrii order. Xero sends an automatic update when that happens, and an hourly pass picks up anything that update missed.

The settings page has the connection and six sync switches. It also has the accounts and taxes Lucrii posts through, a payment-link switch, a branding theme and an activity log. The switches under Sync are these.

FieldWhat it takes
Sales ordersOn to push Lucrii sales orders into Xero as invoices
Purchase ordersOn to push Lucrii purchase orders into Xero
QuotesOn to push Lucrii quotes into Xero
Push sales paymentsOn to record Lucrii sales payments against the Xero document
Pull purchase paymentsOn to bring Xero purchase payments back into Lucrii
RefundsOn to sync refunds between Lucrii and Xero
  • Payment links on invoices adds a link to the Xero online invoice inside the PDF. It needs a payment service connected inside your Xero organisation first.
  • The activity log shows recent sync events, twenty to a page. You can filter it by entity type and outcome. It starts empty and fills as documents update.
  • Refresh from Xero pulls the chart of accounts, tax rates and branding themes again.

Good to know:

  • Changing the Xero organisation clears the account codes, both tax mappings and the branding theme. Each of them belongs to the organisation you chose it in.
  • Disconnecting Xero stops future updates. Documents already in Xero stay as they are.

Before you start

The connector sends nothing to Xero until you choose an organisation and set all three account codes. Until then, the card reads Setup incomplete.

How to use it

  1. Install Xero from the App Store and open the installation page.
  2. Select Connect with Xero and authorise the connection.
  3. Choose the Xero organisation to sync with.
  4. Map the accounts. Sales, purchases and payments each need a code from your chart of accounts before syncing starts.
  5. Map each Lucrii tax to a Xero tax rate, once for sales and again for purchases. A tax you leave unmapped posts on the account default.
  6. Select Save and start syncing.
  7. Back in settings, turn the six switches on or off, then select Save settings.

Troubleshooting

The mapping tables are missing, and the page says it could not load accounts or tax rates from Xero. Lucrii hides the tables while it cannot read them, because an empty tax mapping would post every line on the account default. Reconnect to try again.

Lucrii says some Xero data did not load after a refresh. A list that did not refresh still holds what the last refresh read.

Xero refuses an order whose lines do not add up to its total. Save the order again in Lucrii to correct the figures. The next sync then goes through.

Payment links on invoices does nothing. It needs a payment service connected inside your Xero organisation first.

  • Managing an installed app: Set up, update, reconnect or uninstall an app your organisation has installed.
  • Stripe: Let customers pay invoices from a Stripe link, and Lucrii records the payment when they pay.
  • Installing an app: Read an app’s listing, then install it once you agree to the permissions it needs.
