Plan, usage and payment
Who can do this: owners.
What it does
Use Billing to see your plan and what your organisation has used, and to manage how it pays.
- Current Plan names the plan. On a paid plan it also gives the price per user per month.
- The line under the plan’s name shows a trial and its end date, or a payment past due. It can also show a grace period, or a cancellation with the day it takes effect.
- The button beside it follows that state. It reads Upgrade, Update Payment, Cancel Subscription, Undo Cancellation or Reactivate.
- Team gives the seat count and the monthly total those seats come to, with a link through to Members.
- Usage counts Invoices, Quotes, Sales Orders, Purchase Orders, Contacts and Items against the plan limits. A bar shows the limits that are set, and the word Unlimited shows the ones that are not.
- Hermes AI Credits shows free credits used out of the total, and the overage for this period. It also shows the spending limit, and the rate charged per 1,000 credits past the free tier.
- Storage shows the megabytes used against the plan limit, or Unlimited.
- Payment opens the payment portal, where you change cards, invoices and billing details.
The plans set these limits.
| Limit | Free | Early Access |
|---|---|---|
| Active invoices | 3 | Unlimited |
| Active quotes | 3 | Unlimited |
| Active sales orders | 3 | Unlimited |
| Active purchase orders | 3 | Unlimited |
| Contacts | 25 | Unlimited |
| Items | 50 | Unlimited |
| Customer emails a day | 50 | 1,000 |
Creating an order, Creating a contact and Creating an item say what happens past each limit.
Your plan limits how many customer emails your organisation sends a day.
- Customer emails are the documents, public order notes, invitations, refund confirmations and cancellation notices that Lucrii emails for you. Password resets, verification emails and mentions don’t count.
- An email counts once for each address it goes to. An invoice to a customer with two more people on CC counts as three.
- The allowance refills evenly over 24 hours. On the free plan, Lucrii adds one email back about every 29 minutes. On Early Access, it adds one about every 86 seconds.
- When you change plan, the allowance starts full at the new plan’s figure.
- Every child organisation shares its parent organisation’s allowance of customer emails.
- Past the limit, Lucrii doesn’t send the email and says when you can try again. It reads “Your plan sends up to 50 customer emails a day. Upgrade for more, or try again after 8:29 pm.”
A refund or a cancel on the order page goes through even when the limit is reached. Lucrii sets aside a small extra allowance for the refund confirmation or the cancellation notice. Once that is used too, Lucrii tells you the email was not sent.
Before you start
- Only an Owner can open Billing. A Member, a Team Leader or an Administrator sees an Access Denied alert instead, saying that only organisation owners can access billing settings.
- Only an Owner can change billing, which in a child organisation means an Owner of its parent organisation. Lucrii refuses anyone else with “Only an Owner can change billing.” In a child organisation, it says “Only an Owner of the parent organisation can change billing.”
- A child organisation pays through its parent organisation. In place of the cards it shows Billing Managed by Parent Organisation, with a Go to Parent Billing button.
- You must verify your email address before Lucrii sends customer emails for you. Verifying your email address shows how.
- The spending limit is a whole number of dollars from 0 to 1,000. Zero means no limit, and the card then reads Unlimited.
- The Hermes AI Credits card shows only for an organisation on a paid plan that includes credits. The rate line shows only when the plan has a rate.
How to use it
- Open Settings, then Billing under Organisation.
- Select Upgrade to start a subscription. Checkout opens outside Lucrii and returns you here.
- To change the spending limit, select the amount beside Spending limit, enter a figure, and select Save.
- To cancel, select Cancel Subscription and confirm with Yes, Cancel.
- Select Manage Billing to open the portal for cards, invoices and billing details.
A cancelled subscription runs to the end of the period you already paid for. Undo Cancellation is on the same card until then.
Troubleshooting
A payment failed. Fix it with Update Payment, not Reactivate. The subscription is past due, and you never cancelled it.
The payment portal shows the cancellation undone, and Lucrii still shows it. Select Undo Cancellation to clear it in Lucrii too. Organisation audit history records the undo.
A billing action fails with a message such as “Lucrii couldn’t cancel your subscription. Try again in a few minutes.” Lucrii could not finish the action. Wait a few minutes and try again. A refusal Lucrii can explain shows its reason instead, such as the message for anyone who is not an Owner.
Emails from a demo organisation never arrive. Lucrii doesn’t send a demo organisation’s emails. They don’t count against the limit.
Billing is missing on a self-hosted deployment. On a self-hosted deployment, billing is not available, and every feature is unlocked. It has no limit on customer emails and does not ask you to verify your email address first.
