Bulk actions on tasks and boards

Last updated: October 24, 2026

What it does

Use a bulk action to change tasks or boards together, such as moving a week’s tasks to another board. Ticked rows bring up a bar at the top of the list. Work boards and tasks covers ticking rows and selecting every match.

ListActions on the bar
TasksEdit Fields, Move, Delete
Work BoardsDelete. The cards on a deleted board stay in your task list
A boardThe same bar as Tasks, at the foot of the board, once you pick two or more cards

Edit Fields changes Status, Priority, Assignee, Due Date, Tags and Watchers. Tick each field to change and set its value.

FieldWhat it takes
AssigneeA team, then one of its members, or Keep Current Assignees to keep each assignee who is a member of that team. Clear leaves the tasks with no assignee and keeps their team
Due DateA day, Clear, or a shift by a number of days
TagsAdd, Remove or Replace, with at least one tag for Replace
WatchersAdd, Remove or Replace, where replacing with no one clears them
StatusA status, with a closure note for Completed. Each task gets the closure note

Move puts the tasks on a board. Choose the board, then a column or Default Column. Default Column is the leftmost column with no status. On a board where every column sets one, it is the first column. Choose No Board to take the tasks off their boards.

On a board, select a card to pick it, and hold Cmd or Ctrl as you select more cards. Dragging one picked card moves them all to where you drop it. There, the count holds Clear Selection alone.

Before anything changes, the window shows how many tasks or boards will change, and why Lucrii skips the rest.

  • Lucrii runs the check once the action’s settings are filled in, and again on each change. It takes a closure note when you select the button that confirms the job, without a new check.
  • Lucrii groups the skipped tasks or boards by reason, such as a task with no due date to shift or a board you cannot change.
  • The Show button beside a reason lists up to 10 of them, each linked to its page. A link such as “and 12 more” opens the rest in Bulk Activity. These links open in a new tab.
  • A button such as Select 3 Skipped Tasks ticks the tasks or boards with that reason.

When the job finishes, a message says how many tasks or boards changed and how many Lucrii skipped.

  • View Job opens the job in Bulk Activity.
  • Select Skipped ticks the skipped tasks or boards again, and Select Failed ticks any that failed.
  • A message with skips or failures does not close by itself. You close it.

Good to know:

  • Lucrii changes each task as its page does, and applies Assignee before Status. In Progress or Completed then makes you the assignee, unless you manage the task’s team. If you are not a member of the task’s team, the task also moves to a team you belong to.
  • A task already due on a past day keeps that day when you set the same one again.
  • Lucrii leaves the Select Skipped button out when every task or board you selected has that reason. When you select one task or board and Lucrii skips it, the window gives only the reason.

Before you start

  • Deleting tasks is for a team leader and above. A member can’t do it.
  • Deleting a board, or moving cards that are already on a board, needs a team leader and above, or the manager of the board’s team. Any member can put a card that is on no board onto one.
  • A due date cannot move to a day before today in your organisation’s time zone.
  • Watchers take at most 100 people. That limit is per change.
  • Deleting more than 25 tasks or boards asks you to type the number first.
  • You can have three jobs in progress at once, counting bulk actions and exports together. Quotes, sales orders and purchase orders says how the limit works.

How to use it

  1. Open Tasks or Work Boards from the Work Boards area, or open a board.
  2. Tick the rows you want. On a board, hold Cmd or Ctrl and select the cards.
  3. Select Edit Fields, Move or Delete in the bar.
  4. Fill in the action’s settings. The window checks the tasks as you go.
  5. Select the button that counts the tasks that will change, such as Move 8 Tasks.
  6. Read the message with the number changed and the number skipped.

Troubleshooting

Lucrii skipped a task you ticked. The reason is the one the task’s page would give. The check groups the reasons, and Bulk Activity lists each skipped task beside its reason.

A task is skipped with “Choose an assignee from this task’s team.” The assignee you chose is not a member of that task’s team. The task page, Hermes and MCP clients refuse that assignee with the same words.

  • Work boards and tasks: Browse your work boards and tasks in two tabs, with saved views, bulk actions and a create button.
  • Columns and cards: Add, rename, sort and reorder a board’s columns, and drag cards between them to change a task’s status.
  • Importing and exporting tasks and boards: Export tasks or boards as a CSV file, and import one to create or update them in bulk.
  • Assignees, watchers and status: Assign a task, follow it as a watcher, and move it from assigned to completed.
  • Bulk Activity: Follow the imports, exports and bulk changes your organisation runs, and see what happened to each record.
