Stock locations

Last updated: October 24, 2026

What it does

Add a location for each warehouse, shop or other place you keep stock. Every on-hand quantity belongs to one, so a receiving step on a purchase order needs a location, and so does a stock adjustment.

PartWhat it is
Name, AddressWhere the location is
StatusActive or Archived. An archived location keeps its stock levels visible, but Adjust Stock does not offer it.
DefaultOne location is the organisation’s default, with a Default badge in its header. When you fulfil a sales order, Lucrii selects it for you as the location the goods ship from.
Stats cardSKUs, Stock, Retail Value and Cost Value. Where it has nothing to report, it says no stats are available.

The header shows who else has the page open, and their saves appear as they happen. See who else is on a record says more.

Ticked rows bring up a bar at the top of the list. On the Locations list, it offers Archive, Restore and Delete. Bulk actions on items and locations covers the bar.

The Actions menu beside Create Location holds Import and Export. You can also ask Hermes to import, export and change your locations.

Export offers two files.

  • Locations has one row per location.
  • Notes has one row per note on those locations, oldest first within each location, with its author and its text. Lucrii skips a location with no notes. Exporting orders lists the Notes file’s columns, and Lucrii doesn’t import a Notes file.

A Locations file has the columns name, status, default, first_name, last_name, company, phone, address1, address2, city, province, province_code, zip_code and country_code.

  • An import matches each row to a location by its name.
  • name and status must hold a value. Lucrii refuses a row that leaves either blank.
  • status is active or archived.
  • default says yes for your default location and is blank for the rest. At most one row may say yes. A file where no row says yes leaves your default where it is.
  • A blank address cell empties that part of the address. Lucrii removes the whole address only when every part you can write is blank.
  • Change country_code in a file, and Lucrii clears the stored country name. In the same way, a new province beside the stored province_code clears that code.

The file also has country, the country’s name, and item_count, total_quantity, total_retail_value and total_cost_value, the figures the Stats card shows. It ends with created_at and created_by, then updated_at and updated_by. These columns are for reading. Importing and exporting contacts explains them, the headings and the rows Lucrii skips.

A file can leave out any column except name and status. Lucrii refuses a file that lacks one of them, names a column twice or has a heading it does not read. A column left out keeps its field as it is. A heading can be a column’s name or its label. Under Export, Choose Columns keeps the columns the import needs ticked, and you can’t untick them.

Check File counts a row that doesn’t change its location as neither new nor an update, and Lucrii skips it. Check File says so, as in “4 rows change nothing, so Lucrii will skip them.”

Before you start

Create and Save stay at the top of the page, and leaving with unsaved changes opens Discard Changes, as Creating a contact describes.

Save keeps changes someone else made to other fields while you edited. Where you both changed one field, Lucrii asks which to keep. See who else is on a record says more.

Each field stops at its limit as you type or paste. A location’s name can be up to 100 characters. Creating a contact gives the address limits.

  • You cannot delete a location that holds stock. Archive and Delete skip a location that holds stock.
  • Being the default does not stop a delete. Another active location becomes the default. If there is no other, it goes with the last one.
  • Exporting is for a team leader or above. Importing is for an administrator or above.
  • One import runs at a time in an organisation, whatever it imports. Importing and exporting contacts says what shows when you start a second.
  • A file can be up to 25 MB, 50,000 rows and 1,024 columns. A file with more than 128 columns has a lower row limit, and Lucrii says how many fit when it refuses one. A column name can be up to 128 characters.
  • Lucrii refuses a row with a cell longer than its column allows. Importing and exporting contacts says more.

You can have three jobs in progress at once, counting bulk actions and exports together. Quotes, sales orders and purchase orders says how the limit works.

How to use it

  1. Open Inventory, select Locations, and select Create Location.
  2. Give the location a Name.
  3. Fill the Address. Typing into the street line suggests addresses as you go, and picking one fills the rest.
  4. Leave the Status as Active, or set it to Archived so Adjust Stock does not offer it.
  5. Select Create.

To make a location the default, open it, select More Actions, then Set as default. Lucrii offers this only on an active location that is not already the default. The same menu holds View Bulk Activity, and View Audit History, which opens the location’s audit page in a new tab.

To change a location, select Edit, then Save. To remove one, select Delete in the header and confirm.

Troubleshooting

The Delete button is greyed out and says to move its stock first. The location holds stock.

Archiving your default location is skipped, or Check File refuses the row. No other active location would be left. The message is the one the location’s page gives. Check File also refuses a row that archives a location holding stock.

An import refuses a file and imports nothing in it. Two or more rows say yes under default.

A row reports “Only an active location can be set as the default.” The row says yes under default on an archived location.

A row reports “The location is not the default yet. Import the file again.” Import the same file again, or open the location and select Set as default. A row that changes nothing but the default gives the reason the mark failed instead.

Lucrii refuses a file as you choose it, before anything is uploaded. The file has a header row and no data rows.
