Quotes, sales orders and purchase orders

Last updated: October 24, 2026

What it does

Orders holds your quotes, sales orders and purchase orders, with a tab and a list for each.

Order typeWhat it is for
QuotePrices an offer to a customer. You mark it won or lost once the customer decides.
Sales orderWork you owe a customer. You fulfil it and collect payment against it.
Purchase orderWhat you have ordered from a vendor. You receive it into a location.

The figures above each list cover the last 30 days, compared with the 30 days before.

  • On quotes, the strip counts quotes, their value, the conversion rate, and how many were marked won and lost.
  • Sales orders lead with the order count and the revenue.
  • Purchase orders lead with the purchase order count and the spend.
  • The figures after those depend on whether your organisation sells goods, services or both. They include Fulfilled, Paid, Received and Outstanding. If your organisation sells services only, Completed takes the place of Fulfilled.

Ticked rows bring up a bar at the top of the list. Bulk actions on orders lists what it does. The Actions menu beside the create button holds Export.

A saved view keeps the filters, search, sort and columns it was saved with. Work boards and tasks covers filters, saved views and selecting rows.

A bulk action, an export or an import runs as a job. Bulk Activity under Settings lists each one with what happened to every record.

  • You can have three jobs in progress at once, counting bulk actions and exports together.
  • You can’t start a fourth until one finishes or you cancel one in Bulk Activity.
  • Imports don’t count toward the three. One import runs at a time in an organisation.

Before you start

You can keep up to 50 saved views of your own on each list.

How to use it

  1. Select Quotes, Sales Orders or Purchase Orders at the top of the page. If your organisation sells services only, the second tab reads Invoices, and its orders are called invoices throughout.
  2. Select the view’s name at the left of the list’s toolbar, then choose a view to filter the list.
  3. Select a row to open that order.
  4. Select the create button at the top right to start an order of the type you are looking at.

A list opens on its Open view the first time, then on the view you last used, All included.

Troubleshooting

A cancelled order is missing from the views. There is no Cancelled view. On sales orders and purchase orders, Closed also lists cancelled orders. Read the status badge on the row to tell the two apart.

The figures strip shows a message instead of numbers. Lucrii could not read them for that period.

  • Creating an order: Create a quote or an order from its list, then save it.
  • Sending and closing a quote: Send a quote, then mark it won to raise a sales order, or mark it lost.
  • Recording payments: Record money received against a sales order, or paid out on a purchase order, in the payments card.
  • Fulfilling and receiving: Record a fulfilment, mark an order fulfilled or receive a purchase order, and update stock.
  • Bulk actions on orders: Send, fulfil, receive or tag many quotes, sales orders or purchase orders at once.
  • Exporting orders: Download quotes, sales orders or purchase orders, or their lines, as a CSV file.
  • Bulk Activity: Follow the imports, exports and bulk changes your organisation runs, and see what happened to each record.
