Notes on a contact
What it does
Use notes to record calls, decisions and files about a contact, where your colleagues will find them. Notes Timeline is at the foot of a contact and of each of its locations.
- The top box takes rich text. Use the toolbar for formatting and the at sign to mention a colleague.
- Drag files in beside it. A file attached to a note stays with that note. The Media card on the contact holds files that belong to the contact.
- Lucrii groups the notes below by date, newest first, and shows each with its author’s avatar.
- Lucrii adds system entries for what happened to the contact.
- Replies from Hermes show on a coloured card headed Hermes AI.
- A deleted note leaves a line saying who deleted it and when.
- Older notes load as you scroll to the end. If Lucrii cannot load notes, the timeline says “Notes could not be loaded.” and offers Retry.
- Hermes reads and writes these notes. An MCP client adds, edits and deletes them through the note tools.
Good to know:
- Once an author’s account or contact is deleted, their name shows struck through and does not open. So does an author who is no longer a member of the organisation.
- A mention of someone who has left the organisation shows struck through, and so does a tag of a deleted record. Neither opens a page or a card.
- A person who has left also shows struck through in a note’s edited by and deleted by lines. Members and invitations says who counts as having left.
- Notes Lucrii writes itself, such as an email it receives, can be longer than the limit.
Before you start
- Contact notes are internal. The customer never sees them. An order note has a public and private switch, and a contact note has none.
- A note can be up to 50,000 characters. A count shows under the note from 45,000, as in “45,000 of 50,000 characters”.
- Pictures in a note must be uploaded to Lucrii.
How to use it
- Open a contact, or one of its locations, and scroll to Notes Timeline.
- Write in the box at the top.
- Drag in a file to attach it. To remove one before you post, select the cross on its chip.
- Select Post. The note appears at the top of today’s group.
Troubleshooting
The paste won’t go in, with “The pasted text would pass the 50,000 character limit.” Lucrii refuses a paste that would pass the limit. Paste a shorter part.
The note won’t save, with “Note must be 512 KB or smaller with its formatting.” A note with a lot of formatting can reach its size limit before 50,000 characters. Remove some formatting or split the note.
The note won’t post, with “Pictures in Note must be uploaded to Lucrii.” Lucrii refuses a picture kept anywhere else. Upload the picture into the note instead.
The author name is missing from a note. The note has no staff member or contact recorded as its author, so Lucrii cannot work out who wrote it.
The notes say “This section couldn’t load.” Lucrii could not show them. Select Reload. The rest of the page keeps working.
