Bulk actions with Hermes
Who can do this: anyone in the organisation, on the Early Access plan.
What it does
Use Hermes to make one change across many records, such as “record full payment on every unpaid invoice from March”.
- Hermes runs the bulk actions that the orders, contacts, inventory and boards lists offer.
- Ask in plain words, such as “tag these five contacts as wholesale”. Hermes picks the records with the filters the list offers, or takes the ones you name.
- A filter can also exclude records, such as every unpaid invoice except one customer’s.
Hermes changes nothing until you approve. It checks every record against the rules its page uses, then shows a card under its reply.
- The card shows how many records will change and why Hermes skips the rest.
- For a send, the card also names who the emails go to and how many others get one.
- Select the card’s confirm button, such as Mark 3 Quotes as Won, or reply yes in your next message, to run the change. Cancel drops it.
- A change that deletes, cancels or unlinks records has a red confirm button. Its Cancel button reads Keep and the kind of record, such as Keep Quotes.
- Over 25 records, such a change asks you to type the count on the card first. Hermes refuses a reply of yes for it.
- A link such as Open in Quotes opens the list the records are on.
- While the change runs, the card counts the records done. When it ends, the card gives the result and View in Bulk Activity.
Hermes also exports records and reports on jobs.
- Ask for an export to a CSV file, and its card shows the export’s progress. The file is on the job’s page in Bulk Activity.
- Ask how a bulk action, an export or an import went, and Hermes shows that job’s card with its counts and explains the reasons.
- Ask to see a job, and Hermes opens its page.
- To import, Hermes opens the import page for the kind of record you name. You choose the file there.
- An MCP client can preview and run the same bulk actions, start exports and read jobs. It cannot import.
Before you start
- Hermes changes your business records only. Taxes, units, teams, members and invitations change in the app.
- Exporting is for a team leader or above. Importing is for an administrator or above.
- One bulk action covers up to 50,000 records. Adjust Stock covers up to 100 items.
- You can have three jobs in progress at once, counting bulk actions and exports together. Quotes, sales orders and purchase orders says how the limit works.
- You can start up to 120 jobs an hour.
- A preview Hermes makes lasts an hour. After that, ask for the change again to get a new preview.
- Only you can confirm a change you asked Hermes for.
- Hermes cannot undo a change it ran. Deleting many records deletes each one.
How to use it
- Ask Hermes for the change and say which records it applies to.
- Read the card under Hermes’ reply: how many records will change and why Hermes skips the rest.
- Select the card’s confirm button, such as Mark 3 Quotes as Won, or reply yes. Select Cancel to drop the change.
- Read the result on the card. Select View in Bulk Activity to see each record’s outcome.
Troubleshooting
Hermes says it can only run a change whose preview it showed in its previous reply. The preview is further back in the conversation, such as when you wrote about something else first. Select the confirm button on the preview’s card, or ask Hermes to show the preview again and approve it in your next message.
Hermes says how many jobs are already running, as in “You already have 3 jobs running. Wait for one to finish, or cancel one in Bulk Activity.” Do as it says, then ask again.
The confirm button reads Nothing to Change. Hermes skips every record. Read the reasons on the card, then ask for a different change.
